If the calendar plugin Convention Schedule & Program Planner is active too, exhibitors and program connect: the exhibitor page shows the exhibitor’s workshops and talks, the session shows its exhibitor, the speaker page shows the booth.
Adding sessions to the exhibitor
- 1Find the field
In the “Event & Location Details” section: “Events of this exhibitor”. It only appears when the calendar is active.
- 2Type the title
Suggestions appear from two characters on. Select with a click or with the arrow keys and Enter.
- 3Or the ID
Type the post ID directly (e.g.
1019) and press Enter. A pasted edit link with?post=1019is recognized too. - 4Check the pills
Each entry becomes a pill with title, ID, date, time and room. A red pill reports “ID not found” – typically a number from last year. It stays visible until you remove it.
Conversely, you can choose the exhibitor on the session in the calendar. Both sides synchronize automatically; an existing entry on the session is never silently replaced.
The event has the box “Event calendar (parent event only)”. Choose the matching main event of the calendar there, and the search at every exhibitor only suggests its sessions – helpful when several years share one installation.
The session IDs belong to this WordPress installation. In the CSV they are in the Event_Ids column; transferred to another website they don’t match.
Program in the room: making rooms and areas clickable
A click on a room or area in the hall plan shows what takes place there. To do this, you link the room or area to a calendar venue in the Hall Plan Designer add-on. The feature is part of the PRO plan.
- 1Open the plan in the designer
Choose the event that holds the plans. Bring existing SVG plans into the designer first.
- 2Select a room or area
Click the element in the plan. Its properties appear on the right. The field only exists while the calendar is active.
- 3Choose the venue
In the field “Programme of the Event Calendar”, pick the venue. Venues marked with an asterisk already have program items for this event.
- 4Save
Save the plan in the designer. The entry “— none —” removes the link again.
| Good to know | How it behaves |
|---|---|
| What guests see | A pop-up with the program items of all days, sorted by date and time. This applies regardless of the setting for the exhibitor detail view, and in full screen too. |
| No program yet | The pop-up says there are no program items in this room yet. You change the intro and the note under “Labels & Texts”. |
| Parent venue | If you choose a venue with sub-venues, their program items are included. |
| Several years | If a main event is chosen in the box “Event Calendar (Parent Event Only)”, only its program items count. |
| Rooms with a jump target | If a room leads to another floor or building, or is a booth, that behaviour stays. The program does not open there. |
| Calendar deactivated | The room behaves as before. The link stays in the plan and works again once the calendar is active. |
| Venue deleted | The designer shows the field with a note about the missing venue. Choose a new one or “— none —”. |
What appears on the exhibitor page
- The sessions sit below “About us” and “Gallery” – the same on the page and in the pop-up.
- They are sorted by date, not in the order entered; entries without a date come last.
- A click leads into the calendar – pop-up, detail page or external link, depending on the session’s setting.
- The heading is “Events” by default; change it under Settings → Labels & Texts.
Further touchpoints

| Hall plan in the calendar | The calendar can show the event’s hall plan if the room names match. |
