Event ExhibitorManager v1.8
Help
WordPress plugin for trade fairs, markets & events

Who’s here, what’s on offer, where’s the booth?

Event Exhibitor Manager puts your exhibitors on your website: as a filterable directory, with a detail page or pop-up and an interactive hall plan where every booth is clickable. Everything is maintained in the WordPress admin, for hundreds of entries at once if needed.

All demos on this page are the real plugin: original scripts and stylesheets with fictional exhibitors of the “Seitenwind Convention 2026”, the same event as on the calendar plugin’s page.

What your visitors see

The directory is a shortcode on any page. Visitors search, filter, save exhibitors as favorites and open the details as a pop-up or a separate page, each with “View on Map”.

The BASIC and PRO tags show the plan a feature starts in. Without a tag, it is included in every plan. Compare plans

Search & filters

Search across names and texts, filter by type, category and location. Add products, country, sales at the booth and program items as needed.

Favorites without an account

Tap the heart, done. The selection stays in the browser and moves to the phone by link or QR code.

BASIC

Featured exhibitors

A row of tiles above the list, with fixed positions and auto-sliding if you like. On hover the tile flips and shows details.

Pop-up or detail page

Logo, location, booth, country, categories, products, description, gallery with lightbox and contact. You choose whether a pop-up or a separate page opens.

Countries with flags

Every country has an ISO code, and the plugin ships the matching flag. You can name the country as you like.

Grid or table

Visitors switch the view themselves. Paged, with “Load more” or everything at once, configurable per page.

Built for phones

Cards instead of a wide table, filters as a separate sheet and, if you like, a floating search bar at the bottom.

Sharing

Every exhibitor can be shared, with a text that includes the event name. You decide on the wording.

Interactive hall plan

Every booth is one click away

You upload your plan as SVG or draw it in the designer. If the booths carry the booth number as their name, the plugin recognises them by itself: a click shows the exhibitor, and “View on Map” in the directory leads straight to the highlighted booth. Visitors search the plan, filter for restrooms, food or first aid and switch floors.

Campus and fairground: all hall plan features

Tap a booth. Zoom with the mouse wheel or two fingers, drag to pan.

Shortcode

I01 is the info desk. It is set to “map only”: clickable on the plan, not listed in the directory.

BASIC

Plans from any graphics software

An SVG from Illustrator, Inkscape, Affinity or Figma. The booth number may sit in the object name; the plugin takes it over. An exhibitor can have several booths.

BASIC

Floors and rooms from one file

Layers “Floor: …” become tabs, areas “Room: …” their rooms. A dialog shows what it found before importing; a new version replaces the floors without losing your setup.

BASIC

Zoom and detail panel

Zoom with buttons, mouse wheel or two fingers, optionally with a full-screen button in the plan. The detail panel opens from the bottom on phones and on the right on large screens.

BASIC

Map only

Set stages, the info desk or catering to “map only”. They are clickable on the plan but don’t appear in the directory or the filters.

PRO

Three display modes

Classic plan, campus with clickable buildings or fairground with all halls on a real map – selectable per event, with the map background in grayscale or colour.

BASIC

Search & quick filters

The search in the plan finds exhibitors and places across all floors. Nine quick filters highlight restrooms, food, first aid, travel and more.

BASIC

“You are here” via QR code

Location points in the plan get a QR code for posters. Scanning it opens the plan right at that spot.

PRO

Full screen & app

Hall plan and directory open as their own full-screen pages, on touch devices optionally with a bottom navigation bar like an app – set up together with the calendar.

Print view

Plan, list and booth signs to print

From the event, the plugin generates a print page: every plan as vector graphics with the list of its exhibitors, an A–Z list or a booth sign per exhibitor in landscape. Exhibitor names on the plan are optional, and a campus adds an overview of all plans. It calculates the page breaks itself.

Add-on · Hall Plan Designer

No SVG? Draw the plan in WordPress

With the Hall Plan Designer add-on, the hall plan is created right in the admin: floors, rooms, walls, doors, booths – whole rows at once –, labels and symbols. You drag exhibitors onto their booth with the mouse. On the website the plan appears just like an uploaded file: with tabs, zoom and “View on Map”.

Booth rows in one go

Drag an area, choose booth size, aisle and numbering scheme – double rows, single rows or snake order. The dialog doesn’t allow duplicate numbers.

Floor plan as underlay

Load a PNG, JPG or PDF, calibrate the scale on a known distance and draw on top. In metres or feet.

Exhibitors by drag & drop

Drag from the list onto the booth. On saving, the designer writes the booth number and optionally the location – without overwriting other people’s changes.

Check report

Duplicate or missing booth numbers prevent saving. Notes show empty booths, overlaps and locations that don’t match the room.

Take over existing plans

An SVG from your drawing program becomes editable, with the original’s colours and rounded corners. Last year’s plan serves as a template.

Colours, patterns, legend

Colour themes for areas such as “Artists’ alley”, eleven patterns, fonts and a colour legend. Work views show occupancy and exhibitor types.

Safe in a team

The last ten versions are kept as backups, and a lock prevents two people from overwriting the same plan.

Labels your way

Booths show number, name, logo or a combination, and labels can be rotated freely. Ctrl+C and Ctrl+V also copy to another floor.

Export

Each floor as PNG or as SVG at a scale of 1:100, print or save as PDF, and the booth list as CSV for Excel.

Requirement: Event Exhibitor Manager 1.5.0 or newer. The designer draws the finished map – it can’t be used to sell or book booth space.

Admin · Editorial team

What your team gets

This is the plugin’s WordPress admin with the same sample data. You can navigate, edit and save. Saved changes appear right away in the demos above.

seitenwind.example/wp-admin/edit.php?post_type=event_exhibitor&page=eem-dashboard

The edit screen is shown here in the classic view. In the block editor the same fields appear as meta boxes below the content. Uploads and downloads are disabled in the demo; for hall plans a small media library offers sample files.

PRO

Dashboard with data checks

Key figures, top 10 favorites, distribution by category, type and location. Eleven check tiles show where logo, booth or contact are missing and lead to the list of entries.

PRO

Bulk editor

All exhibitors as a table, every column directly editable, bulk actions for event, type, category, location and more. Duplicate booth numbers are highlighted in red.

PRO

CSV import and export

Columns are matched by name, never by position. The import recognizes existing exhibitors by name and event. A template with sample rows is included.

BASIC

Quick start wizard

Six steps from the name to the links, right from the dashboard. Afterwards you land in the full edit screen.

Public API for apps and partners

Fair app, partner website, info screen: other applications read the exhibitor directory straight from your website. What you change in the admin, they get on the next request, without exports or e-mail.

  • Read-only, fixed format. Within v1, fields are only ever added. An integration that works today keeps working after updates.
  • One key per application. With a request counter and its own limit, revocable individually at any time. Alternatively open without a key.
  • You decide what goes out. Description, gallery and links can be switched on or off. Contact details and e-mail addresses are off by default; the API never returns favorite counters or drafts.
  • Filters like the directory. Event, type, category, product, country, hall including rooms, booth, search, plus hall plans and all term lists.
  • Efficient to sync. ETag and 304, caching, rate limiting and an OpenAPI description for Postman or Swagger.
  • Linked to the calendar. Exhibitors list the IDs of their program items, and the event names its counterpart in the calendar’s API.

Together with the program

Exhibitors and program know each other

With the “Convention Schedule & Program Planner” plugin, both sides connect: exhibitors show their program items, program items their exhibitor, speakers their booths. The calendar finds the matching hall plan for every room. Without the calendar, the exhibitor plugin works perfectly well on its own.

    seitenwind.example/aussteller/
    PRO

    Program items on the exhibitor

In the edit screen you search for program items by title or ID. They appear as tiles in the exhibitor details, and one click opens the program item in the calendar. The directory can filter exhibitors with or without program items.

    PRO

    Exhibitor on the program item

The calendar shows the linked exhibitor with logo, type and country. One click opens the exhibitor pop-up, even in the middle of the program.

    PRO

    Booths on the speaker page

Anyone who speaks and exhibits has both on their page: appearances and booths, split into upcoming and past. Speaker tiles can also show the company logo.

    PRO

    Program in the room

In the designer you link a room to a calendar venue. A click on the room in the plan then shows all program items taking place there.

    Settings

    Looking just like your event

You set colors, terms and behavior in the admin, without code. Try it above under Admin → Settings: a new primary color appears in all demos as soon as you save.

    • Four base colors. Primary, secondary, light background and border, plus an accent color per type.
    • Every term can be renamed. “Booth”, “Location”, filter texts, messages and share texts under Settings → Labels & Texts. Empty fields fall back to the translation.
    • Behavior per page. View, pagination, filters, detail view and featured row are shortcode attributes. The generator in the admin builds the code.
    • Multiple events. Each fair is its own entry with its own exhibitors, plans and dates. Previous years are kept.
    • Back up settings. All settings including types, categories, products, countries and locations as a file, with a preview before restoring.
    • Translatable. German translation included as .po/.mo.

    The matching program

Convention Schedule & Program Planner shows program items as tiles, a timetable and a live ticker, and with the add-on as a door sign outside every room. Its demo runs with the same fictional event.

    Fullscreen & App Mode

Your trade fair in app style on the smartphone

On smartphones, the full-screen view behaves like an app: a navigation bar at the bottom leads through exhibitors, hall plan and program, and your own start page welcomes your guests. It remains a web page in the browser, with no app store download needed.

No App Store Required Works immediately in the browser of any mobile device, without download or installation. The full-screen view handles just like an app.
Shared Settings Across Both Plugins Colors, bottom bar and landing page are configured centrally and synchronize automatically between Exhibitor Manager and Calendar.
QR Codes for Fair Flyers & Hall Plans The integrated shortcode generator creates print-ready QR codes that direct attendees straight to the mobile app.
Optional PWA with Home Screen Icon With a few files on your server, the full-screen view becomes a PWA: visitors add it to their home screen with its own icon. Guide in the help →
      Packages

      Two plugins, one data set

The exhibitor plugin works on its own. The add-on requires it and hooks into the menu, the event, the hall plan box and the help. What it draws becomes an ordinary hall plan of the event, and the assignments are stored with the exhibitors.

      Frequently asked questions

Do I need the calendar plugin for this?

No. The directory, hall plan, print view and the whole admin work on their own. Program items, the “With events” filter and the link in the edit screen only appear when the calendar is active.

How does my hall plan become interactive?

Upload the plan as an SVG in the event. Every booth needs the exhibitor’s booth number as its name, for example “F04” – as ID or as object name in the drawing program. Layers “Floor: …” become tabs, areas “Room: …” locations.

I have no SVG file – does it still work?

Yes, with the Hall Plan Designer add-on. You draw floors, rooms and booth rows right in the WordPress admin and drag the exhibitors onto their booths. On the website the plan appears just like an uploaded file.

How do I get lots of exhibitors into the system?

With a CSV file. The plugin recognizes columns by their name, regardless of upper or lower case. Existing exhibitors are recognized by name and event and updated. After that, the bulk editor helps with the fine-tuning.

Do visitors need an account for favorites?

No. Favorites live in the visitor’s browser and can be moved to another device by link or QR code. For the dashboard statistics, the plugin only counts how often an exhibitor was saved.

What if the booth planning isn’t finished yet?

In the event, switch on “Hide all location and booth information globally”. The directory is then already online, and booths and halls follow later.

Can a fair app or partner websites use the exhibitor data?

Yes, through the public API. You switch it on in the settings under “API”, create a key per application and decide which data goes out. Contact details and e-mail addresses are off by default. The API is read-only; nobody can change anything through it.

What remains if I remove the plugin?

By default all data is kept. If deletion on uninstall is switched on under Settings → “Security & Maintenance”, the plugin removes exhibitors, events, terms and settings. The calendar’s program items stay; only their link to the exhibitors is removed.

Can I manage several fairs or years?

Yes. Each event is its own entry with its own exhibitors and plans. The dashboard, bulk editor and export can be filtered by event.

Does the hall plan also work for grounds with several buildings or a large fair?

Yes. You choose the map mode per event: classic plan, campus with clickable buildings or fairground, where all halls sit true to scale on a city map. The map only loads after visitors consent. The “Hall plans” page shows all three as a live demo.

Is the demo on this page real?

Yes. Directory, hall plan, print view, dashboard, bulk editor and edit screen run with the plugin's original scripts and stylesheets. Only the WordPress server is simulated; the exhibitors are fictional.
