Exhibitor Manager DOCS & HELP

Booth Rows, Rooms & Appearance

Booths are created one by one or as whole rows with consecutive numbers. Rooms assign them to locations, and colours, patterns and colour themes make the plan readable.

Booth rows

With the Booth rows tool (key G) you drag the area to be filled. The dialog asks for:

FieldMeaning
Booth width, booth depthsize of one booth
Layout“Double rows (back to back)” or “Single rows”
Rows runhorizontally or vertically
Aisleaisle width between the rows
Prefix, start, step, digitsnumbering scheme, e.g. H- + 1 + 1 + 2 digits = H-01, H-02 …
Order“Snake (every other row backwards)”, each row left to right, row by row or column by column
The “Booth rows” dialog with preview: how many booths in how many rows, with which numbers.

The preview shows how many booths in how many rows will be created and which numbers they carry. If numbers are already used, the dialog won’t continue – change prefix or start. The booths are created individually, without a group; group them with Ctrl+G if needed.

Renumbering booths

“Renumber booths” (☰ menu or properties of several booths) renumbers the selection with the same scheme, additionally in the order in which you selected the booths. In “Maintain in the designer” mode the exhibitors move along. In “Display only” mode they keep their numbers; the editor then offers an old → new list as CSV for reconciliation.

Rooms, areas and click IDs

  • A room becomes a room (sub-location) of the floor tab. Exhibitors on a booth in this room get it as location. The “Location” field links the room firmly to an existing location; the default is matching by name.
  • Room from shape: a click into a closed shape of the original drawing or an SVG underlay creates an invisible room with exactly that outline on top – just type the name. The smallest shape under the click is chosen; the background and small parts under 0.5 m² don’t count.
  • An area (stage, catering) is just drawing at first. With a click ID such as STAGE it becomes clickable on the website as soon as an entry with this booth number exists – e.g. an entry with the visibility “map only”.
  • A text as location (“Use as location (like a room)”): the text becomes a sub-location of the floor. Booths, however, are assigned to rooms only.
  • Linking the program: Rooms and areas have the field “Programme of the Event Calendar”. A click in the plan then shows this venue’s program – step by step.
Renaming a room

Renaming a room renames the location too; the exhibitors keep it. If other events use the same location or the new name already exists, the old location stays for them and only this event’s exhibitors move. This only happens in “Maintain in the designer” mode.

Colour themes in the “Colours” tab are named colours, e.g. “Artists’ alley”. Changing a colour theme recolours all its booths. “Insert colour legend” places a legend built from the colour themes as a normal plan element.

Work views in the status bar: “Normal view”, “Occupancy” (unoccupied booths highlighted) and “By exhibitor type”. They don’t change the chosen colours and aren’t published. The “Names” switch shows the exhibitor names on the booths.

Work view “Occupancy”: booths without an exhibitor are hatched.
Work view “By exhibitor type”: the colours of the types as set under Types.

Booth labels

Besides the booth number, you can choose “Name”, “Logo”, “Logo + Name” and “Logo + Name + Booth number” as content. Rotation can be automatic, in fixed steps (0°, 90°, 180°, 270°) or free from 0 to 359°. With Ctrl+C and Ctrl+V you can also copy elements to another floor.
